Many meetings today require a good deal of audio-visual equipment to help the presenter deliver the intended message to the audience. How do you know how to properly choose an AV provider? Do you use the hotel's provider or an outside company? Do you base your decision on budget or quality? Making the wrong choice can be disastrous, and the dependence on meeting technologies to capture, inform and entertain your audience keeps growing.
First, do your homework. Ask your prospective suppliers for references, and better yet, ask
colleagues and others in your industry for referrals. Make sure that prospective suppliers have
experience in your type of event and know your chosen venue. Also check with the venue to make
sure there are not extra fees charged if you choose to bring in an outside vendor instead of
using the in-house supplier.
As price and great customer service are both very important deciding factors for many meeting planners today, make sure you are comfortable that the provider you choose fits your needs completely. Sometimes the cheapest supplier might not be your best choice. Then again, in this day and age of lean budgets and pressure to provide a great event on a shoestring budget, you may not have a great deal of choice. If you do your research, obtain references and properly interview prospective AV suppliers, you will find the right company for you.
